Who we are

Everframe Motion ("we", "us", "our") is a visual production studio based in the Midlands, United Kingdom, specialising in wedding and event cinematography, videography and photography. For the purposes of UK data protection law, we are the data controller in respect of the personal data we collect from you.

What data we collect and why

When you submit an enquiry through our contact form we collect the following personal data:

  • Name and contact details (name, email address, phone number) — to respond to your enquiry and, if you proceed to book, to manage the contract between us.
  • Project information (project type, budget range, date, location, message) — to assess your requirements and provide you with an accurate proposal.
  • How you found us — for internal marketing analysis only; this is never shared.
  • Date and time of submission — for our records and to comply with our legal obligations.

We do not use cookies for tracking purposes, run advertising on this website, or collect any data beyond what you voluntarily provide.

Legal basis for processing (UK GDPR)

We process your personal data on the following legal bases under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018:

  • Consent (Article 6(1)(a)) — where you tick the consent box on our contact form, you give us permission to process your data for the purpose of responding to your enquiry.
  • Legitimate interests (Article 6(1)(f)) — we have a legitimate interest in processing enquiry data to manage potential client relationships. We have balanced this against your rights and concluded it does not override your interests or freedoms.
  • Contractual necessity (Article 6(1)(b)) — if you proceed to book with us, we will process your data as necessary to fulfil the contract between us.

How we use your data

We use the information you provide to:

  • Respond to your enquiry and, where relevant, provide a proposal for our services.
  • Manage the booking process and any subsequent contract.
  • Comply with legal and regulatory obligations.

We will never sell your data, share it with third parties for marketing purposes, or use it for automated decision-making.

How long we keep your data

Enquiry data is retained for a period of 12 months from the date of submission, unless you proceed to book with us — in which case we retain relevant data for up to 6 years in accordance with UK contract and tax law. After this period your data is securely deleted.

Who we share your data with

Your data is processed by the following categories of third parties, strictly on our behalf:

  • Email service provider — our website uses standard PHP mail to deliver enquiry emails to our inbox. Your data is not stored by any third-party email marketing platform.
  • Web hosting provider — our website is hosted on servers in the United Kingdom. Server logs may temporarily contain your IP address for security and technical purposes.

We do not transfer your personal data outside the United Kingdom or the European Economic Area.

Your rights

Under UK GDPR you have the following rights in respect of your personal data:

  • Right of access — you can request a copy of the personal data we hold about you.
  • Right to rectification — you can ask us to correct inaccurate or incomplete data.
  • Right to erasure — you can ask us to delete your data where there is no compelling reason for us to continue processing it.
  • Right to restrict processing — you can ask us to suspend processing of your data in certain circumstances.
  • Right to data portability — you can request a copy of your data in a structured, commonly used and machine-readable format.
  • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.
  • Right to object — you can object to processing based on legitimate interests.
